For the purpose of this document, Community Tuition Centre Ltd may be referenced as “Community Tuition Centre”, “we”, “us” and “our”. This Privacy Policy aims to provide complete transparency about what data we collect about parents, students and tutors; why we collect this data; and how we use it. Your privacy is of paramount importance to us, so please note that we only collect relevant customer data for (a) legal purposes and (b) to allow us to deliver a personalised, higher-quality tuition services. What data we collect from parents & students

When Community Tuition Centre receives a new customer enquiry (and upon successful registration) we collect personal data such as names, phone numbers, emails and schools attended. Building this profile allows us to appropriately gauge what support a student may need — e.g. group sessions versus dedicated one-to-one tuition. Only the relevant tutor is then informed (and privately) to allow them to prepare accordingly for their lesson and to help build rapport faster.

NEW ENQUIRIES

EXISTING CUSTOMERS

  • Parent information: full name, address.
  • Contact information: telephone numbers & email addresses
  • Student information: first & last names, email (optional) date of birth, school, year group, whether the student is taking any long-term medication

OLD CUSTOMERS

Community Tuition Centre will continue to hold customer data even when they close their account. In most instances we retain customer for accounting and billing purposes; or reporting.

WEBSITE DATA & COOKIES

We use tools such as Google Analytics to collect data about visitor behaviour patterns on our website. This includes data such as pages visited, time spent on page and what devices our visitors are using. Collecting this information allows us to improve our service and create a better user experience. We are able to gather this information by using a tool called “cookies”. Cookies are small text files that collect anonymous logs of your behaviour on the internet, which in turn allow Community Tuition Centre to compile reports about user activity on our website. This data is completely anonymous. We cannot attribute the data to anyone and it has never been and will never be shared with any third parties. Also, Google does not associate your IP address or cookies with any of your identifiable information.

What data we collect from tutors

As part of the Community Tuition Centre recruitment process we will request your CV. Upon being made a job offer, we will request documents such as proof of identification, proof of address, a DBS certificate, qualification certificates, banking information (for us to pay you) and next of kin details as an emergency point of contact. We will also take a passport-style photograph of you, purely for the creation of your tutor ID card. Your photo will not be used for any other purposes. In some instances, parents may request to know (or see) tutor qualifications which we will honour. However, we will never share any personal information such as contact details or address and equally, we also ban any tutors from providing any of their personal data to students or parents.

Why we collect customer data

The personal data we collect (i.e. address and telephone numbers) is primarily for safeguarding purposes. We must have the ability to contact a student’s parents or guardians in the event of an emergency.

How we use your data

Data collected by Community Tuition Centre will always be maintained securely and never be shared or sold to third parties.

INTERNAL RECORDS

The data we collect is done so on a lawful or legitimate interests basis — e.g. contact information for a student’s parents, medical requirements and what school the student attends..

CUSTOMER UPDATES AND MARKETING

Community Tuition Centre may occasionally send customers updates and information that is of relevance and legitimate interest to them. This will typically be in the form of emails or letters. We will always make it incredibly easy to opt-out of email communication if you choose not to be contacted any further; simply look for the “unsubscribe” button/link at the bottom of any email we send you.

Protecting your data

Protecting customer and tutor data is a priority for the Community Tuition Centre. For this reason, only members of management have access to parents, students and tutors data and this is kept confidential unless required by law.

Links to third party sites

Our website, www.communitytuition.co.uk, may contain links to other external websites. Please note that we cannot accept responsibility for anything on those websites, and that should all have their own privacy policies.

Data Breaches

Community Tuition Centre has taken precautions with management-only access to personal data. However, in the unlikely event of a breach, we will notify all those affected directly and notify the ICO. Your legal rights & erasing of data You are welcome to request what information Community Tuition Centre holds about you (parents or students); to access this information; edit this information and even request to erase this information. In the event that we are required to keep certain information by law (e.g. name, address and contact details, which we are required to keep for 6 years for UK tax purposes), we will be unable to erase your information. After the 6 years have passed your data will be kept in our database until you request otherwise; at which point you can request for your data to be altered or destroyed.
